Job Description

Full Time, On-Site
Annual Salary Range: $80,000 – 85,000

Salmagundi is currently seeking an adept and experienced Office Manager to join its dynamic team.  This is a new role, and one that will have a great deal of impact on the continued success of the organization as we continue to grow and serve our thriving community of artists in New York and across the country. 

You will be responsible for leading the existing Admin Team, and be a key point of contact for members.  You possess an acute attention to detail, pride yourself on timeliness, and have a knack for effective communication.  You’re willing to take a lead on process improvements and problem solving when you see the need.  You’re technically adept, comfortable using digital tools, and learning new ones. 

Primary Responsibilities

  • Oversee day-to-day, event specific and project based administrative team work.
  • Utilize project management tools, including Asana, to document, coordinate and track project progress.
  • Foster a culture of excellent customer service for artists, donors, members and stakeholders.
  • Address inquiries, resolve issues, and ensure a positive experience for members, event holders, and colleagues.
  • Supervise and lead the administrative team, providing guidance, support, and mentorship.
  • Collaborate with Events and Exhibitions teams to ensure efficient and effective planning and communication
  • Coordinate and oversee admin team activities, delegate tasks, and ensure consistent, efficient workflow.
  • Oversee accounts payable functions, including processing invoices, reconciling accounts, and managing vendor relationships.
  • Work closely with the finance team (and external accountant) to ensure accurate financial transactions.
  • Utilize Google Workplace tools for regular and ad-hoc document creation, management, collaboration, and communication within the organization (and externally).
  • Collaborate with the Board of Directors as requested.
  • Maintain current status for licenses and contracts required for operation of business

Preferred Qualifications:

  • 3+ years of administrative management experience preferred
  • Demonstrated proficiency with time management, organization, as well as improving team efficiency and effectiveness
  • Experience assisting in the planning, coordinating and execution of projects and tasks amongst various teams
  • Experience in accounts payable and financial management.
  • Excellent communication and interpersonal skills
  • Proficiency with Google Workplace tools (documents, sheets, gmail, drive, calendar, slides), Asana are required

Founded in 1871, the Salmagundi Club (“Salmagundi”) is one of the oldest art organizations in the United States. A 501(c)(3) not for profit organization, housed in an historic brownstone mansion in the heart of Greenwich Village, New York City, the Club offers programs including art classes, exhibitions, painting demonstrations, and art auctions throughout the year for members and the general public.

The Salmagundi facilities include three galleries, a library, an elegant period parlor, and a dining room, bar, and vintage pool tables. All facilities are available for special events and private rentals.

The Club owns a collection of over 1,500 works of art spanning its 147 year history and has a membership of in excess of 1,000 artists and patrons. Its members have included important American artists such as Thomas Moran, William Merritt Chase, Louis Comfort Tiffany, N.C. Wyeth and Childe Hassam. Today the Club builds on this legacy by providing a center for the resurgence of representational art in America.
